How to Print Address Labels in Bulk (Without Doing Them One by One)
Learn how to print dozens or hundreds of address labels at once, from spreadsheet mail merge to Snaaail’s simpler bulk-label workflow.

Table of contents
If you have 5 or 10 letters to send, making each address label individually is manageable. With 100, 300 or 500 letters, typing and arranging addresses one by one gets repetitive very quickly.
Here is how to print address labels in bulk: put your recipients in one list, connect that list to a label template, generate the batch and print it. You set up the layout once; the software fills in each recipient’s address.
There are two main approaches: a spreadsheet with Mail Merge, or automated label generation connected directly to your subscribers. Both can produce a batch of labels. The difference is how you prepare the list for this mailing and the next one.
How Do You Print Multiple Address Labels at Once?
The basic process is recipient list → label template → batch generation → print. Each row in the list becomes a label, instead of a new document you have to create by hand.
Printing is usually the straightforward part. Preparing the addresses, checking who belongs in the batch and keeping the list current are what take attention. Before printing, match the template to your label stock and printer, then check a sample for alignment.
Try Bulk Address Label Generation Yourself
You don't need to imagine what bulk label generation looks like. Try it directly below. Generate labels for the sample recipients and see how a mailing list can turn into print-ready address labels in just a few clicks.
The demo downloads an 80 × 40 mm PDF with one label per page. Use matching label stock and print at actual size. It is not an A4 or US Letter sheet of stickers.
For a one-time mailing, you can build a similar workflow with a spreadsheet and Mail Merge. For recurring mail, Snaaail keeps this process connected directly to your subscribers.
Method 1: Print Address Labels From Excel or Google Sheets
Start with one recipient per row and a separate column for each part of the address. A useful set of columns is:
- First name
- Last name
- Address
- Address line 2
- City
- State / region
- ZIP / postal code
- Country
Keep postal codes as text so leading zeros survive. Leave optional fields blank rather than adding filler. Check for duplicate recipients and missing delivery information before connecting the list to a template.
To print address labels from Excel, use Microsoft Word’s Mail Merge:
- Save the address list in Excel. If you maintain it in Google Sheets, download an Excel copy first.
- In desktop Word, open Mailings, choose Start Mail Merge, then Labels. Choose the label vendor and product number that match your stickers.
- Use Select Recipients to connect your spreadsheet. Insert an address block or the individual fields into the first label, then use Update Labels to apply the layout across the sheet.
- Preview Results and check several addresses, including long names and optional second address lines. Finish & Merge to print, or save the merged document as a PDF.
That gives you a practical workflow: spreadsheet → Word / Mail Merge → label template → preview → PDF / print. Test the alignment on plain paper before using your sticker sheets, and turn off scaling if it changes the template size.
This is a perfectly valid way to print mailing labels in bulk for a one-time event, invitation list or occasional batch of letters. Keep the spreadsheet and template together if you expect to reuse them.
The Problem With Bulk Labels Isn't Really Printing
A monthly Snail Mail Club adds a different question: whose address belongs in this month’s batch? With 100 or more subscribers, you repeatedly need to know:
- Who is currently subscribed.
- Who should receive the current Letter.
- Each recipient’s delivery address for that shipment.
- Whether an address changed and which mailing the change applies to.
- Which recipients are international.
- Whether a Letter was already shipped.
Then you need to prepare the next mailing. The spreadsheet still works, but it starts becoming an administrative system: part subscriber list, part address book and part shipping history. The repetitive work is keeping those pieces in agreement.
A Simpler Way to Print Labels for a Snail Mail Club
In Snaaail, subscribers, delivery addresses, Series and Letters already live in the same club workflow. Shipping preparation can use that information instead of asking you to maintain a second mailing list.

How to Generate Address Labels in Bulk With Snaaail
1. Manage Your Subscribers in Snaaail
Subscription and delivery information are connected to your club. You do not need a second mailing database just to prepare labels. Check the recipients for the mailing you are preparing; a subscriber list and a shipment batch are not always identical.
2. Prepare Your Letter
Letters are organized inside Series. Prepare the Letter you want to send, then use the club’s shipping workflow to review the corresponding shipments and their delivery information.
3. Generate Your Labels
Select the shipments in your shipping list and generate labels using the label/sticker format you have configured. Snaaail creates a print-ready PDF from the recipient delivery addresses attached to those shipments, with one label per page. No manual copy/paste or separate CSV workflow is required.
Use the delivery address shown for each shipment when checking the batch. An address change does not mean every already-prepared mailing should be rewritten. Generating labels records them as printed; it does not physically ship the Letter.
4. Print the Whole Batch
10 labels
- Generate
100 labels
- Generate
500 labels
- Generate
The basic workflow stays the same as your club grows: select the recipients for the batch, generate the PDF and print it. These examples describe batch sizes, not measured speed claims. Check your selection includes everyone you intend to send to.
Match the PDF’s page size to your printer and label stock. Preview the document and test one label at actual size before printing the rest. Keep an eye on long addresses so important lines are not cut off.
5. Stick, Pack and Send
Stick on the labels, pack your envelopes and send the mail. The art, paper choices, handwritten notes and personal touches stay with you. Snaaail removes repetitive administration, not the personal part of physical mail.
Excel Mail Merge vs Automated Bulk Labels
Both methods can print labels for a mailing list. A spreadsheet workflow gives you a reusable template for a list you maintain yourself. Snaaail connects label generation to the shipments you are already managing.
Traditional workflow
- Subscriber data
- Spreadsheet / export
- Clean addresses
- Mail Merge
- Select template
- Preview
Snaaail workflow
- Subscribers
- Generate Labels
- Ship
You should still preview and check your labels with either method. The difference is whether you need to rebuild a separate address list before you can start.
Can You Print 100 or More Address Labels at Once?
Yes. A bulk workflow generates many labels from one recipient list rather than making you create each address individually. A batch of 100 or several hundred recipients follows the same principle. The number of sheets or individual labels you print depends on the chosen format.
Do You Need Excel to Print Mailing Labels in Bulk?
No. Excel is one method of storing and organizing recipient data. You can print mailing labels without Mail Merge when the software holding your addresses can generate labels directly. If you already manage your subscribers in Snaaail, exporting their addresses to another tool adds a separate step to maintain.
What About International Addresses?
International lists need extra care because the order and meaning of address fields differ between countries. A postal code and city may appear in a different order, and some addresses need extra lines. Keep the country with each recipient’s delivery details.
Snaaail’s label generation includes delivery information and the country from the shipment address, so domestic and international recipients can be part of your shipping workflow. Keeping that information attached to subscribers reduces the need for separate manual lists. It is not a guarantee of postal normalization or deliverability: review the address and confirm any postage or customs requirements separately.
When Does Automating Labels Become Worth It?
For five letters once, you probably do not need an automated club workflow. A simple template or spreadsheet can be enough. For recurring monthly shipments with dozens or hundreds of subscribers, checking membership and preparing addresses becomes regular administrative work.
The useful question is whether you are maintaining the same information twice. If each mailing starts with exports, copied addresses and reconciliation, connecting labels to your existing club data can remove those repeated steps.
Spend More Time on the Mail, Not the Mailing List
The goal is not to automate everything about Snail Mail. The handmade part is why people enjoy receiving it. Automate copying addresses, maintaining duplicate lists, rebuilding mailing lists and repetitive label preparation. Keep the art, creativity, envelope preparation and personal touches.
